2026 OkMEA All-State Clinic + Concert


Information for All-State Members

January 22-24 in Downtown Tulsa
→ Rehearsals & Performances at Tulsa PAC Facilities and adjoining Tulsa Hyatt Hotel
→ Annual Oklahoma Music Educators Convention at Tulsa Convention Center

COMMUNICATION

TRANSPORTATION
Outbound: Union vehicle loads (people, luggage, instruments) at UHS Bus Loop at 7:30am and departing shortly thereafter, Thursday, January 22. Student luggage will be positioned at the hotel for students to claim at the time of check-in.
Return: no transportation is provided. Please plan for your ride home on Saturday afternoon, including coordinating getting luggage from the hotel.

LODGING
Hotel: Holiday Inn Express (Downtown Tulsa)
Check in/Claim room keys: Thursday January 22. Late afternoon, time TBA.
Check out: Saturday January 24, approx 11:00am or possibly prior to the morning rehearsal. Luggage may be stored at the hotel lobby and claimed later. 
Cost: no cost to student members, compliments of UBPC
Curfew: 11:30pm on Thursday; Midnight on Friday

MEALS
For the two cash distribution meals shown below, we suggest the following locations near the Hyatt Regency / TPAC / hotel: Tokyo Gardens, Chicken & the Wolf, Froot Bowl, Bourbon S. Cafe, Andolini’s Pizza, Senor Pablo, Fortune Chef, Jimmy John’s, Elote Cafe, Wiz Hot Dog, Deco Deli.

Lunch Thursday:  cash distribution $20
Dinner Thursday
: at Hyatt Regency meeting room (provided)
Breakfast Friday: In hotel lobby, open at TBA
Lunch Friday: cash distribution $20
Dinner Friday: 5:00pm @  Dilly Diner / Compliments of UBPC
Breakfast Saturday: In hotel lobby, open at 7am
Lunch Saturday: Union group meets together at 12:15pm @ The Brook  or McNellie’s (TBA) / compliments of UBPC. If a student prefers to meet family members for lunch instead of joining the group, please communicate as such in advance. 

*prepaid meals are included as part of the OkMEA member fee

SUPERVISION
Adult leaders and conductors will oversee students during all rehearsals, convention events, social events, concerts, and prepaid meals. Various Union Schools Fine Arts faculty members will be attending the OkMEA convention throughout the day on Thursday and Friday, and will host students for Friday at dinner & Saturday at lunch.

MISC INFO
• Registration is held downstairs in the PAC in the Norman rehearsal hall. 
• Once received, you must wear the lanyard at all times. It's the only way for you to be identified as an OkMEA student and to ride the shuttle bus to/from the convention center.
• If going/coming to various sites on the event shuttle bus, we encourage being on the shuttle at least 1 hour before each rehearsal starts. Rehearsals will not start late due to transportation logistics. 
• Because of the size of the convention and the large number of facilities it requires, the OKMEA Convention, including All-State Ensembles Rehearsals and Concerts, is NEVER canceled nor rescheduled due inclement weather. Members of All-State Ensembles should not assume that bad weather will serve as an excuse for their not being on time and present for scheduled rehearsals. [Participation fees are likewise non-refundable for an All-State Member who chooses not to participate due to inclement weather.]

GENERAL EXPECTATIONS
We are so proud of your accomplishments and know that you will responsibly represent Union with class this week. Please refer to the OkMEA Code of Conduct for additional information. Infractions of expected behavior will result in unpleasant consequences (we know this will not be a problem!). The most important factor to note: late arrival to any rehearsal is likely to result in expulsion from the group. Plan to arrive no later than 10 minutes prior to the beginning of a scheduled rehearsal.  Set multiple wake-up alarms for Fri and Sat mornings.
